Office Clerk – via Sutter Health

Shift time is Monday – Thursday 8am-3pm, with an hour lunch

Ideal Candidate: Calm, supportive telephone voice. Familiarity with HIPAA and handling of highly confidential information. Ability to function as part of a team. Good communication skills. Self directed.

Job Description: Responsible for answering and directing incoming calls. Requires strong computer skills especially in PowerPoint, Word, Excel and Outlook. Must have strong customer service skills and ability to handle upset and distraught callers efficiently and with compassion. Must have the ability to interact professionally.

Support Ongoing Business Operations:
• Supports provider relations processes
• Adheres to Sutter graphic standards
• Produces work that is free from errors and ready for print production

Performs a variety of clerical functions to ensure the smooth flow of work within the office:
Answers and directs incoming calls within 2 rings
• Processes Web Requests and After-hours messages
• Opens, date stamps and distributes mail within the department each day
• Checks and stamps outgoing mail
• Checks and appropriately documents incoming messages and service requests
• Maintains calendar for activities
• Prepares materials for activities
• Inputs activity documentation
• Maintains activity log
• Sends activity follow up correspondence to customers
• Records and distributes daily schedule information
• Monitors departmental inboxes
• Prepares mail
• Scans documents
• Files and indexes documents

Support Operations Supervisor and Clinical Supervisor:
• Maintains supervisors calendars. Assists in scheduling meetings, rescheduling conflicts
• Supports supervisors in meeting preparation of materials
• Prepares PowerPoints and other communication materials
• Creates professional forms and letters
• Schedules and calendars contractors and patients
• Assists with calls and correspondence

Special Projects:
• Willingly accepts and completes projects as assigned demonstrates ability to work as part of a project team by being responsible and accountable for all assignments
• On an ongoing basis, creates projects that will continue to improve the overall operations and efficiencies of the office support systems.
• Other staff support duties as directed
